Subscribing to Event Poet

From registration and training to system integration, qualifying event use, and record review.

(Go to '"Becoming a Licensed Event Poet Subscriber" and "Managing Subscriber Status")

Event Poet is designed as an organized subscriber experience for connecting compatible audiovisual systems to a broader event-understanding environment. The subscriber journey begins with account creation and training, continues through system integration and activation, and extends into the way an Event Poet session is initiated, understood, preserved, and reviewed.

The goal is straightforward: a subscriber should not simply receive software. The subscriber should understand what Event Poet does, how to use it, how to use it responsibly, and how to navigate the system before, during, and after an

Event Poet event.

8 Maintain & Renew

1. Create and secure your Event Poet account

A subscriber begins through the Event Poet application or subscriber portal on a computerized device such as a mobile phone, tablet, laptop, or desktop computer. The onboarding process introduces Event Poet, explains what participation involves, and identifies the steps required before the system can be activated.

The subscriber creates an account, enters the information required for the applicable account type, verifies the account, and establishes secure access. The contemplated process includes email verification and multi-factor authentication (MFA), together with the secure handling of account and payment information established by the Event Poet operator.

2. Identify how you will participate

Event Poet is designed to recognize that different subscribers may use the system in different capacities. A subscriber may participate, for example, as a homeowner, business owner, municipal or authority participant, citizen-watch participant, or another qualifying person or organization.

That role helps determine the subscriber’s training pathway, account permissions, technical configuration, governance requirements, and service needs. A person who participates in more than one capacity may have separate accounts or account partitions so that equipment, permissions, billing, training, and operational responsibilities remain appropriately organized.

3. Learn Event Poet before you activate it

Before full activation, the subscriber receives a roadmap for using Event Poet. The purpose is to make participation understandable before the subscriber is placed in a position to initiate or join an Event Poet session.

Training may use written instruction, video, diagrams, demonstrations, interactive material, questions and answers, testing, mock Event Poet sessions, and other educational media. Depending on the subscriber’s role, training may also include live instruction, evaluation, or practical exercises outside the home or office.

Training can address:

  • How to initiate, participate in, and conclude an Event Poet session.

  • How Event Poet can organize relevant audiovisual information from before, during, and after an event.

  • How to understand participating static cameras and mobile audiovisual sources.

  • How to interact appropriately with other subscribers, neighbors, businesses, authorities, law enforcement, or other relevant participants.

  • How to recognize and report potentially harmful or unlawful activity without encouraging unsafe personal intervention.

  • How alerts, shared sessions, private viewing, and group participation may operate.

  • How to review, preserve, and responsibly manage Event Poet records after a session.

  • How privacy, recording, sharing, evidence, and public-space considerations relate to Event Poet use.

  • How Event Poet governance requirements, restrictions on misuse, and possible suspension or revocation relate to subscriber conduct.

Personal safety comes first.

Event Poet is contemplated as an information, documentation, and coordination system. It is not a substitute for emergency response. When an immediate threat or emergency exists, the subscriber should use appropriate emergency services, including 911 where applicable, rather than place personal safety at risk in order to operate Event Poet.

4. Qualify, download, and integrate Event Poet

After completing the applicable training requirements, the subscriber can receive the credentials needed for activation. These may include a training certificate number together with a subscriber number, product key, activation code, serial number, license ID, registration code, or another identifier established by the operator.

The subscriber then downloads the Event Poet software appropriate to the audiovisual environment and follows the integration process for the existing camera or AV system. Because installation can vary by manufacturer, model, network, or system configuration, Event Poet can provide dedicated technical guidance for compatible environments.

Support may include:

  • Step-by-step installation instructions and how-to videos.

  • Manufacturer, make, model, and system-specific reference material.

  • Frequently asked questions and troubleshooting resources.

  • Generative-AI guidance through appropriate integration steps.

  • Human technical or subscriber support when additional assistance is required.

After installation, the subscriber first tests the local audiovisual system to confirm that the connected equipment is operating properly. Event Poet is contemplated to manage the broader cross-system interoperability required for participation so that a subscriber is not expected to manually configure every other participant’s camera network.

5. Configure the service for the way you use Event Poet

Event Poet is contemplated as configurable rather than identical for every subscriber. Subscription level and account settings may determine such matters as the geographic scope of an area of interest, the duration or amount of session recording, access to particular features, the number or type of connected systems, and the level of information available within the account.

A broader service tier may provide expanded area-of-interest coverage, longer recording, or more extensive feature access. A middle tier may provide a more typical level of coverage and recording. A more limited or efficiency-oriented tier may focus on a smaller local area and a more limited set of nearby participating cameras.

The subscriber account can also present billing information and the operator’s rules for upgrading, downgrading, or canceling service. Exact subscription features, pricing, quotas, and commercial terms would be established by the future Event Poet operator.

6. Initiate or participate in a qualifying Event Poet session

Once trained, activated, integrated, and configured, a subscriber can initiate or participate in an Event Poet session when an event reasonably falls within the authorized purposes of the system. Event Poet is not intended to be activated merely because something is observable. A subscriber should have a legitimate event-related reason for initiating a session.

A qualifying Event Poet event may include circumstances in which broader audiovisual understanding, documentation, coordination, or reconstruction could reasonably assist in determining what is occurring, what occurred beforehand, or what happens afterward. Examples may include:

  • Suspected criminal activity or an apparent crime in progress.

  • A missing child, missing person, or suspected abduction.

  • Theft, burglary, robbery, vandalism, or other property damage.

  • A vehicle accident, hit-and-run incident, or other significant roadway event.

  • A suspicious or potentially dangerous occurrence affecting people or property.

  • A fire, hazardous incident, or other event in which distributed audiovisual information may provide useful situational understanding.

  • An event affecting a residence, business, neighborhood, public area, or participating community in which relevant activity may extend beyond the field of view of a single camera.

  • Another legitimate safety, evidentiary, investigative, or event-documentation circumstance authorized under Event Poet governance and operating rules.

By contrast, Event Poet is not intended to function as a generalized surveillance, curiosity, or personal-tracking system. A subscriber may not initiate an Event Poet session merely to observe ordinary activity that has no reasonable connection to a qualifying event. Nor is Event Poet intended to be used to follow, monitor, investigate, intimidate, harass, or spy upon another person for personal, commercial, discriminatory, retaliatory, voyeuristic, or other unauthorized purposes.

Examples of non-qualifying or prohibited initiation reasons may include:

  • Tracking an individual merely to determine where that person goes or what that person is doing.

  • Monitoring a neighbor, employee, former spouse or partner, acquaintance, customer, or other person without a legitimate Event Poet purpose.

  • Using Event Poet to harass, intimidate, stalk, retaliate against, or improperly investigate another person.

  • Activating a session solely out of curiosity about ordinary activity occurring within an area.

  • Attempting to use Event Poet to obtain information unrelated to a legitimate event.

  • Creating a false, exaggerated, or fabricated event in order to gain access to participating audiovisual resources.

  • Using Event Poet for any purpose prohibited by applicable Event Poet governance requirements or law.

Event Poet is contemplated to associate session initiation with an authenticated subscriber account. Because subscribers establish identifiable accounts and complete applicable qualification and training requirements before activation, the system can maintain records identifying who initiated a session, when it was initiated, and other relevant session information. This creates accountability for both proper use and potential misuse.

Depending on the implemented system, Event Poet may also use automated rules, subscriber prompts, event classifications, warnings, review procedures, or other safeguards to help determine whether a contemplated session falls within an authorized Event Poet purpose. Improper initiation, misrepresentation of an event, repeated misuse, or use outside the authorized purposes of Event Poet may result in review, restrictions, suspension, revocation of operating privileges, or other consequences established by the Event Poet operator and applicable law.

When a qualifying event exists, in-application guidance can explain how to initiate the session, define the relevant event or area of interest, and interpret audiovisual information assembled from participating sources. The central Event Poet experience is intended to help create a broader understanding of the event by organizing relevant information associated with what occurred before, during, and after the event.

Depending on the implemented system and permissions, a subscriber may be able to participate in or view a live Event Poet session, allow other qualified subscribers to join, maintain private viewing, receive alerts concerning related Event Poet activity, or participate in a group session involving several active subscribers observing the same qualifying event.

Throughout the session, Event Poet should guide the subscriber regarding responsible participation, session conclusion, and available post-event options. Personal safety remains the subscriber’s first responsibility, and Event Poet is not intended to encourage a subscriber to physically intervene in a dangerous situation.

7. Review what happened before, during, and after

After an Event Poet session, the subscriber can return to the account to review the resulting record. Event Poet is contemplated to organize relevant audiovisual material chronologically and present available timestamps and other metadata so that the subscriber can understand how the event unfolded across time and participating sources.

The account may provide storage, access to prior sessions, sharing controls, and other conventional record-management functions. The subscriber can be shown how to locate a session, review it, preserve it, and share it when sharing is permitted and appropriate.

When a session may be relevant to a legal or law-enforcement matter, Event Poet training can explain responsible record preservation and the available means of contacting appropriate authorities during or after an event.

Privacy, recording, disclosure, publication, and evidentiary rules may vary by location and circumstance. Event Poet should therefore direct subscribers to the applicable governance requirements and relevant law rather than assume that one rule applies everywhere.

Misuse, misrepresentation, or activity outside the authorized purposes of Event Poet may result in restrictions, suspension, revocation of operating privileges, or other consequences established by the operator and applicable law.

8. Maintain your account, training, and qualification

Event Poet participation does not end with initial activation. Subscribers can continue to access account information, billing, stored sessions or records, technical support, subscription settings, and educational resources needed to remain familiar with the system.

The contemplated model may provide an Event Poet operating credential for a defined period and require renewal, refresher training, continuing professional or technical instruction, or other recurring qualification. Subscribers can be notified about expiration dates, renewal requirements, changes to governance rules, and updated technical or operational training needed to remain active.

A continuing support and education environment

The Event Poet subscriber experience can be supported by a continuing library of educational and technical resources, including visuals, diagrams, written literature, videos, interactive tests, test results, mock-event exercises, user manuals, frequently asked questions, and other digital or paper-based reference material.

The objective is to give subscribers a reliable reference point before, during, and after their participation in Event Poet—so that the technology, the subscriber’s responsibilities, and the process of using the system remain understandable over time.

Event Poet in one sentence

Event Poet is designed to guide a qualified subscriber from secure onboarding and training through audiovisual-system integration, event participation, and organized review of what happened before, during, and after an event.

Implementation note

This page describes a contemplated subscriber-facing implementation of the Event Poet intellectual property. Final software features, interfaces, technical compatibility, training requirements, governance rules, subscription terms, pricing, and operating procedures would be determined by the entity that ultimately develops and operates Event Poet.

Becoming a Licensed Event Poet Subscriber

Becoming a licensed Event Poet subscriber means completing the applicable enrollment, identity-verification, background-screening, training, qualification, authorization, account-activation, and licensing requirements. Licensed subscriber status establishes an identified and accountable relationship between the subscriber, the Event Poet account, the authorized operating environment, and every Event Poet session conducted through that access.

The subscriber begins by selecting the appropriate subscriber classification and access option. The enrollment process then confirms the applicant’s identity, background, intended role, operating environment, understanding of Event Poet, and willingness to accept the responsibilities associated with access to sensitive audiovisual information.

Accurate and complete information is essential throughout this process. Event Poet may use account information for identity verification, background screening, training records, qualification results, security notices, licensing administration, renewal communications, support, account recovery, compliance review, and continuing subscriber-eligibility determinations.

Completion of these stages establishes the subscriber’s eligibility and prepares the account for authorized Event Poet operation.

Background screening and suitability review

Event Poet may require every prospective subscriber to complete a mandatory identity, criminal-history, and suitability review before licensed operational access is granted. This review helps determine whether the applicant can be entrusted with sensitive audiovisual information, Event Poet session capabilities, account credentials, registered devices, and the privacy and security responsibilities associated with the system.

The screening process should be conducted through an approved government agency, law-enforcement agency, court-record source, or legally compliant background-screening provider. Event Poet may require state, multistate, federal, registry, identity-based, or other searches appropriate to the applicant’s residence, history, subscriber classification, and requested access.

Completion of a background check is one component of the eligibility process. Event Poet may also evaluate the applicant’s identity, disclosures, qualifications, intended use, operating environment, training results, and willingness to accept continuing accountability.

Requirements for submitted criminal-history reports

A criminal-history report submitted by an applicant must satisfy Event Poet’s current verification requirements.

An electronic report or PDF should contain:

  • The applicant’s identifying information.

  • The name and jurisdiction of the issuing agency or approved provider.

  • The date—and where provided, the time—the report was issued.

  • The geographic, jurisdictional, and database scope of the search.

  • An official seal, signature, certification statement, digital signature, verification code, report number, or comparable authentication feature.

  • A method through which Event Poet can verify the report directly with the issuing agency or approved provider.

  • A statement identifying the period through which the information is current.

  • Available dispositions, including convictions, dismissals, acquittals, withheld adjudications, or other reported outcomes.

  • Any stated limitations concerning the completeness or geographic scope of the report.

A report from a local police or sheriff’s department may be limited to that agency’s jurisdiction. Event Poet may require additional records to obtain an appropriately broad screening for the subscriber access being requested.

Whenever possible, the report should be transmitted directly by the issuing agency or approved provider. An applicant-submitted PDF must contain reliable authentication information and remain subject to direct verification.

Background-screening reports should be transmitted through Event Poet’s designated secure process. Access should be limited to personnel responsible for subscriber eligibility, security, compliance, legal review, or authorized administration.

Mandatory criminal-history disclosure

Every applicant must truthfully answer the criminal-history and suitability questions required by Event Poet and permitted by applicable law.

The disclosure process may require information concerning:

  • Felony convictions.

  • Misdemeanor convictions directly relevant to Event Poet access and responsibilities.

  • Pending criminal charges required by the application.

  • Active or outstanding warrants.

  • Protective orders, restraining orders, or other judicial restrictions relevant to subscriber suitability.

  • Court-ordered limitations affecting access to people, properties, computers, networks, cameras, recordings, or confidential information.

  • Previous findings involving misuse of technology, audiovisual information, credentials, or protected personal information.

An applicant who answers “yes” to a required question must complete a separate disclosure for each applicable matter.

The disclosure should include:

  1. The offense or alleged offense.

  2. Whether the matter involved a conviction, pending charge, active warrant, protective order, or another judicial disposition.

  3. The applicable statute or legal description, if known.

  4. The date and location of the conduct.

  5. The arresting or investigating agency, where applicable.

  6. The court, jurisdiction, and case number.

  7. The date of conviction or other disposition.

  8. The plea, verdict, ruling, or outcome.

  9. The sentence, penalty, supervision, restriction, or other consequence imposed.

  10. Whether incarceration, probation, parole, treatment, restitution, community service, or another requirement was completed.

  11. Whether any warrant, supervision, restriction, or court order remains active.

  12. Whether the record was sealed, expunged, pardoned, vacated, or otherwise modified.

  13. Any explanation, correction, rehabilitation information, or mitigating circumstances the applicant wishes Event Poet to consider.

  14. Authorization for Event Poet to verify the information through appropriate official sources.

Submission of a disclosure allows Event Poet to conduct an informed suitability review. Event Poet may require additional records or clarification before completing the eligibility determination.

Suitability considerations

Event Poet may consider the following factors when evaluating subscriber eligibility:

  • The accuracy and completeness of the available information.

  • The applicant’s truthfulness and cooperation during enrollment and screening.

  • Whether the matter resulted in a conviction or remains pending.

  • The nature and seriousness of the conduct.

  • The relationship between the conduct and Event Poet’s audiovisual, privacy, security, technological, and account-access responsibilities.

  • The time that has passed since the conduct and completion of the sentence.

  • Whether the applicant remains subject to an active warrant, supervision, restriction, or court order.

  • Evidence of rehabilitation, corrected information, successful completion of imposed requirements, and subsequent responsible conduct.

  • The subscriber classification and level of access requested.

  • The sensitivity of the information, devices, locations, or capabilities associated with the requested access.

  • Applicable federal, state, and local law.

Conduct of particular concern may include:

  • Stalking or cyberstalking.

  • Harassment or threats.

  • Unlawful surveillance or recording.

  • Unauthorized access to computers, networks, accounts, cameras, or data.

  • Identity theft, impersonation, or credential misuse.

  • Fraud, forgery, falsification, or deceptive practices.

  • Extortion or coercion.

  • Violence or sexual misconduct.

  • Burglary, theft, trespass, or property-related offenses.

  • Evidence tampering, obstruction, or interference with an investigation.

  • Misuse or unlawful disclosure of confidential, protected, or audiovisual information.

  • Conduct demonstrating a substantial risk to subscriber security, privacy, public safety, or responsible Event Poet operation.

Event Poet may approve an application, approve it with limited or conditional access, request additional documentation, place the application on hold, or deny licensed subscriber status.

Certain recent, serious, or directly relevant convictions may result in mandatory disqualification under Event Poet’s finalized eligibility policy. An active warrant, unresolved identity discrepancy, material pending charge, or unverified criminal-history record may cause the application to remain pending until reliable information is obtained.

Accuracy and opportunity to respond

Background reports may contain incomplete dispositions, outdated information, mistaken identities, or other errors. Event Poet should maintain a defined process through which an applicant can review and respond to information used in an eligibility determination.

As required by applicable law, an applicant may be permitted to:

  • Review the information relied upon.

  • Identify mistaken identity or incomplete information.

  • Obtain information about the source of the report.

  • Challenge inaccurate or outdated information.

  • Submit corrected or supplemental official records.

  • Explain relevant circumstances.

  • Provide rehabilitation or mitigating information.

  • Request reconsideration through the applicable Event Poet review process.

Event Poet should evaluate verified corrections and supplemental information before completing a final unfavorable decision where required.

Complete Event Poet training

Training is a central part of becoming a licensed subscriber. It prepares the applicant to understand Event Poet’s operational purpose and the responsibilities accompanying access.

The training process may address:

  • Event Poet as an application for understanding events.

  • The before, during, and after sequence of an event.

  • Authorized activation and qualifying conditions.

  • Accurate event descriptions and session information.

  • Defining an appropriate time period and geographic scope.

  • Identifying relevant cameras, audiovisual devices, and information sources.

  • Distinguishing event-related information from incidental information.

  • Protecting audiovisual information and subscriber credentials.

  • Applying privacy-conscious practices.

  • Understanding subscriber actions, session records, and auditability.

  • Responding to system prompts, warnings, restrictions, and requests for clarification.

  • Maintaining subscriber eligibility and licensed access in good standing.

Applicants should complete each required lesson and assessment through their individually assigned subscriber account. Training and qualification records become associated with the person who may later receive operational access.

Demonstrate qualification

Qualification confirms that the applicant understands Event Poet sufficiently to exercise the requested level of access.

Depending upon the subscriber classification and subscription option, qualification may involve:

  • Passing instructional quizzes.

  • Completing knowledge assessments.

  • Demonstrating an understanding of qualifying events.

  • Identifying an appropriate basis for initiating an Event Poet session.

  • Defining a reasonable before-during-after period.

  • Selecting information relevant to the event.

  • Recognizing privacy and scope considerations.

  • Completing a mock Event Poet session.

  • Demonstrating secure account and credential practices.

  • Understanding background-screening and continuing-disclosure responsibilities.

  • Accepting the responsibilities associated with licensed subscriber status.

Successful qualification may result in a training-completion record, certification, subscriber number, license identifier, or another form of authorization associated with the account.

Register the operating environment

A licensed subscriber account may be connected to approved properties, locations, cameras, audiovisual devices, networks, software, or organizational systems.

Registration may include:

  • Confirming the subscriber’s relationship to the property, location, organization, or operating environment.

  • Identifying compatible cameras and audiovisual devices.

  • Recording relevant device or system information.

  • Applying an activation code, product key, serial number, registration code, or other applicable credential.

  • Establishing approved user roles and account permissions.

  • Confirming that each user has completed the required identity verification, screening, training, and qualification.

  • Verifying that the configured environment corresponds with the subscriber’s authorized access.

This process connects the subscriber’s identity, background review, qualifications, license, operating environment, and compatible technology within the Event Poet account.

Protect subscriber credentials

Subscriber credentials connect Event Poet activity to an identified, screened, trained, and accountable person. Each authorized user should maintain individually assigned access and protect all associated account information.

Secure subscriber practices include:

  • Using an email address controlled by the individual subscriber.

  • Creating a strong and unique password.

  • Completing available security-verification measures.

  • Protecting subscriber numbers, license identifiers, product keys, activation codes, and device-registration information.

  • Keeping contact and account-recovery information current.

  • Reviewing security and access notices promptly.

  • Updating organizational access when a person’s duties, eligibility, or employment status changes.

  • Reporting suspected unauthorized access through the appropriate Event Poet support or security process.

Individual credentials allow Event Poet to identify account activity accurately, maintain meaningful audit records, manage permissions, and protect sensitive audiovisual information.

Continuing eligibility and mandatory reporting

Licensed subscriber eligibility continues throughout the subscription period. Subscribers must maintain accurate account information, required training, active licensing, secure credentials, responsible conduct, and compliance with Event Poet’s subscriber terms.

A licensed subscriber must promptly report any event that may materially affect subscriber eligibility. The report should be made through the designated Event Poet Operator’s Hub or another authorized Event Poet reporting channel.

Reportable matters may include:

  • A felony conviction occurring during the subscription period.

  • A required misdemeanor conviction directly relevant to Event Poet access or responsibilities.

  • An active or newly issued warrant.

  • A pending charge required by Event Poet’s policy and applicable law.

  • A protective order, restraining order, probation condition, parole condition, or other judicial restriction relevant to Event Poet access.

  • A finding involving stalking, cyberstalking, harassment, unlawful surveillance, unauthorized system access, identity misuse, fraud, violence, information misuse, or related conduct.

  • Suspension or revocation of a professional, governmental, security, or other credential connected to subscriber eligibility.

  • A material change in the subscriber’s identity, organizational authority, operating role, registered environment, or legal ability to exercise Event Poet access.

Felony conviction during licensed access

A licensed subscriber who is convicted of a felony during the subscription period must report the conviction to the Event Poet Operator’s Hub within the period established by Event Poet and before any further use of Event Poet.

The report should include:

  • The offense.

  • The court and jurisdiction.

  • The case number.

  • The conviction date.

  • The plea, verdict, or ruling.

  • The sentence and applicable conditions.

  • Any incarceration, probation, parole, supervision, restriction, or reporting requirement.

  • Available certified court or law-enforcement documentation.

  • Any additional information required for Event Poet’s eligibility review.

Upon reporting a felony conviction, the subscriber must discontinue operational use of Event Poet and follow all instructions concerning suspension, surrender, or termination of access. Event Poet may immediately suspend the account, disable operational capabilities, revoke credentials, restrict access to audiovisual information, and begin a subscriber-eligibility review.

When the conviction falls within a mandatory-disqualification category established by Event Poet’s legally reviewed policy, the subscriber becomes ineligible for continuing operational access. The subscriber must surrender the applicable credentials and terminate the subscription or comply with Event Poet’s direct termination and removal process.

Event Poet may terminate the subscriber agreement, cancel operational authorization, deactivate registered credentials, remove the subscriber from active systems, and take other appropriate protective measures.

A subscriber who elects to terminate immediately should report the conviction before or concurrently with termination so that Event Poet can secure the account, preserve required records, deactivate credentials, and complete any legally required administrative or security actions.

Voluntary cancellation does not eliminate reporting duties that arose while the subscription was active or prevent Event Poet from reviewing conduct, preserving records, or taking action concerning prior Event Poet activity.

Any future application for Event Poet access would be subject to the eligibility policy in effect at that time, complete disclosure of the previous conviction and account termination, a new background review, and any applicable mandatory-disqualification provisions.

Periodic and event-triggered rescreening

Event Poet may require periodic rescreening or a new suitability review when:

  • A subscription is renewed.

  • A subscriber requests expanded access.

  • An individual assumes a new operational or administrative role.

  • New properties, locations, devices, or systems are added.

  • Event Poet receives credible information affecting subscriber eligibility.

  • A security, privacy, compliance, or responsible-use concern arises.

  • A subscriber reports a conviction, charge, warrant, restriction, or other material development.

  • Applicable law, policy, insurance, or contractual requirements call for renewed screening.

Rescreening should be conducted with the required authorization and in accordance with applicable law.

Retain enrollment and licensing records

Keep subscriber records in a secure location accessible to the responsible account holder or authorized administrator.

Retain the following items where applicable:

  • Enrollment confirmation and account-creation date.

  • Government-issued identity-verification confirmation.

  • Subscriber classification and approved role.

  • Background-screening authorization.

  • Certified criminal-history reports and verification records.

  • Applicant disclosures and supporting explanations.

  • Eligibility and suitability determinations.

  • Selected subscription and activation date.

  • Training-completion records.

  • Quiz, assessment, or qualification results.

  • Certification or licensing records.

  • Subscriber number or license identifier.

  • Product keys, activation codes, serial numbers, or registration codes.

  • Registered-property, location, device, or system information.

  • Payment confirmations, receipts, or invoices.

  • Applicable subscriber, privacy, security, renewal, background-screening, and responsible-use terms.

  • Continuing-disclosure reports and related administrative decisions.

  • Relevant Event Poet support, compliance, legal, or administrative correspondence.

These records help confirm authorization, support renewals or access changes, resolve account questions, document eligibility decisions, and preserve organizational continuity.

Background-screening information should be protected through appropriate security, access-control, retention, and deletion procedures. Access should remain limited to people with an authorized eligibility, compliance, security, or legal responsibility.

Accuracy, omissions, and falsification

Applicants and licensed subscribers must provide truthful, complete, and authentic information throughout enrollment, screening, training, qualification, and continuing access.

A material misrepresentation, intentional omission, forged or altered document, false certification, misuse of another

person’s identity, failure to provide a required continuing disclosure, or interference with the verification process may result in:

  • Rejection of the application.

  • Immediate suspension of subscriber access.

  • Termination of the subscriber agreement.

  • Revocation of certification, licensing, or operational credentials.

  • Deactivation of product keys, activation codes, registered devices, or system access.

  • Removal from active Event Poet subscriber systems.

  • Preservation of relevant application, account, and activity records.

  • Referral of suspected unlawful conduct to the appropriate law-enforcement, regulatory, judicial, or other authorized authority when warranted.

Governmental authorities determine whether suspected conduct warrants investigation, charges, prosecution, or another legal proceeding.

Licensed-subscriber readiness check

Before initiating an Event Poet session, confirm the following statements:

  • I created my account using accurate personal or organizational information.

  • I selected the subscriber classification corresponding with my actual role.

  • I completed the applicable identity-verification requirements.

  • I provided the required background-screening authorization.

  • I submitted authentic criminal-history documentation where required.

  • I truthfully completed all required criminal-history and suitability disclosures.

  • I responded to requests for supporting or corrected information.

  • I received confirmation that the required background and suitability review was completed.

  • I selected the appropriate subscription and reviewed its licensed capabilities and operating conditions.

  • I reviewed and accepted the applicable subscriber, privacy, security, screening, continuing-disclosure, and responsible-use terms.

  • I completed all required Event Poet training.

  • I completed the applicable quizzes, assessments, mock sessions, or qualification activities.

  • I received or confirmed the applicable subscriber, certification, licensing, or activation credentials.

  • My authorized properties, locations, devices, systems, and users are registered where required.

  • My subscription and licensed-subscriber status are active.

  • I can securely access the Event Poet account assigned to me.

  • I understand that my Event Poet activity is connected to my individual credentials and subscriber responsibilities.

  • I understand my continuing duty to report a felony conviction and other material eligibility developments to the Event Poet Operator’s Hub.

  • I understand that a reportable conviction or other material development may result in immediate suspension, review, termination, credential revocation, and removal from active Event Poet systems.

  • I securely retained the important enrollment, screening, training, licensing, activation, and payment records.

Once these requirements are satisfied, the applicant has completed the essential process for becoming a licensed Event Poet subscriber. Continuing access depends upon maintaining accurate account information, a qualifying background and suitability status, current subscription and licensing, required training, secure credentials, properly registered systems, timely reporting of material developments, and responsible use of Event Poet.

Managing Subscriber Status

Maintaining licensed Event Poet subscriber status preserves the subscriber’s authorized ability to access Event Poet, initiate or participate in approved Event Poet sessions, and work with relevant audiovisual information from the before, during, and after sequence of an event.

An active subscription involves more than maintaining payment. Subscriber status depends upon continuing identity verification, background suitability, current training and qualification, secure credentials, properly registered users and devices, responsible conduct, compliance with Event Poet’s operating terms, and satisfaction of applicable subscription requirements.

This step assumes that the subscriber has completed enrollment and received licensed access. It explains how to keep that access current, secure, accurate, and eligible for continued Event Poet use.

Understand the elements of active subscriber status

A subscriber remains in good standing by maintaining all applicable components of the Event Poet account.

These components may include:

  • An active subscription and current payment status.

  • Verified personal and organizational information.

  • A qualifying background and suitability status.

  • Completed and current training, testing, and certification.

  • Valid subscriber, licensing, and activation credentials.

  • Properly registered properties, locations, cameras, audiovisual devices, software, and systems.

  • Individually authorized users and appropriately assigned account roles.

  • Secure sign-in credentials and current account-recovery information.

  • Compliance with Event Poet’s privacy, security, responsible-use, and session requirements.

  • Timely reporting of convictions, warrants, judicial restrictions, security incidents, and other material eligibility changes.

  • Completion of periodic reviews, renewals, requalification, or rescreening where required.

Each component contributes to the subscriber’s continuing authorization. A change in one area may require account review, additional documentation, updated training, restricted access, suspension, or another administrative action.

Monitor subscription and license-renewal dates

Record the subscription and license-renewal dates when access becomes active. Place those dates in a calendar that the responsible subscriber or account administrator routinely reviews.

A useful reminder schedule is:

  • 60 days before renewal: Review subscriber eligibility, account information, training status, background-screening requirements, registered users, registered devices, and anticipated access needs.

  • 30 days before renewal: Review the current subscription, applicable operating terms, payment method, and any required renewal documentation.

  • 14 days before renewal: Confirm that all responsible people can complete the necessary payment, authorization, training, rescreening, or account actions.

  • A few days before renewal: Verify that contact information, billing details, credentials, and required records are current.

  • On or after renewal: Confirm that the subscription, license, certifications, registered systems, and expected operational capabilities remain active.

Renewal may be automatic or may require affirmative action, depending upon the applicable subscription terms. The subscriber should verify the status displayed within the account and carefully review all renewal-related notices.

Treat every subscription, license, training, and certification renewal date as an operational deadline affecting Event Poet authorization.

Maintain accurate subscriber information

Subscriber identity and account information must remain accurate throughout the subscription period.

Update Event Poet when there is a material change involving:

  • Legal name.

  • Residential, business, or organizational address.

  • Email address or telephone number.

  • Organizational affiliation.

  • Employment or authorized representative status.

  • Subscriber classification or operational role.

  • Account owner or administrator.

  • Billing contact.

  • Properties or locations associated with the account.

  • Registered cameras, audiovisual devices, networks, software, or systems.

  • Individually authorized users.

  • Legal or organizational authority to operate within the registered environment.

  • Emergency, security, compliance, or account-recovery contacts.

Accurate information allows Event Poet to connect each account, credential, device, location, and session to the appropriate authorized subscriber.

An organizational subscriber should promptly update access when an employee, contractor, administrator, or other authorized person changes roles, leaves the organization, or no longer requires Event Poet access. The person’s credentials and permissions should be modified or deactivated through the designated account process.

Maintain background and suitability eligibility

Background suitability is a continuing condition of licensed subscriber access. The subscriber must remain eligible under Event Poet’s applicable criminal-history, security, privacy, and responsible-use standards.

A subscriber must promptly report material developments through the Event Poet Operator’s Hub or another authorized Event Poet reporting channel.

Reportable developments may include:

  • A felony conviction occurring during the subscription period.

  • A misdemeanor conviction required by Event Poet’s eligibility policy.

  • A criminal charge required to be disclosed by applicable policy and law.

  • An active or newly issued warrant.

  • A protective order, restraining order, probation condition, parole condition, or other judicial restriction relevant to Event Poet access.

  • A finding involving stalking, cyberstalking, harassment, unlawful surveillance, unauthorized system access, identity misuse, fraud, violence, information misuse, or related conduct.

  • Suspension or revocation of a professional, governmental, security, or organizational credential connected to subscriber eligibility.

  • A material discrepancy discovered in information previously submitted during enrollment or screening.

  • Another legal or administrative development that may affect the subscriber’s suitability for access to sensitive audiovisual information.

The subscriber should provide complete and accurate supporting information, including applicable court, jurisdiction, case, disposition, sentence, supervision, restriction, and documentation details.

Report a felony conviction immediately

A licensed subscriber convicted of a felony during the subscription period must report the conviction to the Event Poet Operator’s Hub within the period established by Event Poet and before any further use of Event Poet.

The report should include:

  • The offense.

  • The date of conviction.

  • The court and jurisdiction.

  • The case number.

Upon reporting the conviction, the subscriber must discontinue operational Event Poet use and follow all instructions concerning suspension, surrender, review, or termination of access.

Event Poet may immediately:

  • Suspend the subscriber account.

  • Disable Event Poet session capabilities.

  • Restrict access to audiovisual information.

  • Deactivate subscriber, licensing, product, or device credentials.

  • Preserve relevant account and activity records.

  • Begin a formal eligibility and security review.

When the felony conviction falls within a mandatory-disqualification category established by Event Poet’s legally reviewed eligibility policy, the subscriber becomes ineligible for continuing operational access. The subscriber must surrender the applicable credentials and terminate the subscription or comply with Event Poet’s direct termination and removal process.

Event Poet may terminate the subscriber agreement, revoke licensing or certification, deactivate registered credentials, disconnect applicable devices or systems, and remove the subscriber from active Event Poet operations.

A subscriber who voluntarily terminates the subscription after a felony conviction must report the conviction before or concurrently with termination. This allows Event Poet to secure the account, deactivate credentials, preserve required records, and complete appropriate administrative, compliance, and security procedures.

Maintain current training and qualification

Event Poet training and qualification may require periodic renewal, reassessment, continuing education, or updated instruction. Subscribers should monitor all training and certification expiration dates.

Updated training may address:

  • Changes to Event Poet capabilities.

  • Revised activation or qualifying-event requirements.

  • New privacy and information-handling procedures.

  • Security requirements.

  • Account and credential protections.

  • Changes to applicable laws, regulations, or operating policies.

  • Updated before-during-after session procedures.

  • New safeguards, warnings, restrictions, or review processes.

  • Changes to subscriber background-screening or continuing-disclosure requirements.

  • Modifications to registered-device or system-integration procedures.

Complete required training within the stated period. When an assessment or recertification is required, verify that the completion record appears within the subscriber account.

A lapse in required training or qualification may result in temporary restriction or suspension until the subscriber completes the outstanding requirement.

Review registered users, devices, and operating environments

The subscriber account should accurately identify every person, property, location, camera, audiovisual device, network, software component, or system associated with Event Poet access.

Review the following periodically:

  • Whether each listed person still requires access.

  • Whether each person’s role and permission level remain appropriate.

  • Whether each person has completed current training, qualification, and screening requirements.

  • Whether former employees, contractors, administrators, or participants have been removed.

  • Whether registered properties and locations remain under the subscriber’s authorized responsibility.

  • Whether cameras and audiovisual devices remain active, compatible, secure, and properly registered.

  • Whether device serial numbers, registration codes, product keys, or activation credentials remain accurate.

  • Whether software, security, and integration requirements are current.

  • Whether organizational authority or ownership has changed.

  • Whether the subscription still corresponds with the number of users, locations, devices, and capabilities in use.

Changes should be processed through the appropriate Event Poet account or Operator’s Hub procedure. Every person requiring operational access should use individually assigned credentials connected to that person’s verified identity, screening, training, role, and permissions.

Protect the account and credentials

Account security is an ongoing subscriber responsibility. Protect sign-in information, subscriber identifiers, certification records, product keys, activation codes, device credentials, registration codes, and account-recovery methods.

Subscribers should:

  • Use strong and unique passwords.

  • Complete available identity and security-verification measures.

  • Keep recovery information current.

  • Review sign-in and security notices promptly.

  • Maintain control over the email account associated with Event Poet.

  • Protect devices used to access the account.

  • Limit administrative privileges to appropriate authorized users.

  • Remove access when a person’s role or eligibility changes.

  • Report suspected unauthorized access immediately.

  • Follow Event Poet’s instructions after a credential, device, or account-security incident.

When unauthorized access is suspected, the subscriber should discontinue affected operational activity, secure the account, preserve relevant notices or records, and report the incident through the Event Poet Operator’s Hub or designated security channel.

Event Poet may reset credentials, restrict capabilities, suspend access, require reverification, or take other protective action.

Check payment status before access is affected

Current payment status may be required to maintain licensed subscriber access. A declined payment method, incomplete invoice, expired card, missing authorization, or overdue amount may affect account status.

Review payment information regularly and whenever Event Poet sends a billing or renewal notice.

Status or notice

Payment completed

The applicable charge has been processed

Retain the confirmation with subscriber records

Payment pending

Processing, authorization, or approval remains incomplete

Monitor the status and follow the stated instructions

Payment failed or declined

The subscription may not renew or remain active

Update the payment method or contact the responsible billing administrator

Invoice due or overdue

Payment requires action through the applicable invoicing process

Complete or escalate the payment before the stated deadline

Refund or payment reversal

A previously completed payment has been changed

Review the account notice and confirm the resulting subscription status

Subscription inactive

Licensed access has ended or been interrupted

Resolve the stated requirement before further operational use

An organizational subscriber should give its billing or finance personnel enough time to complete payment and approval procedures before renewal. Payment confirmations, invoices, receipts, and renewal notices should remain accessible to the responsible account administrator.

Review account notices promptly

Event Poet notices may concern:

  • Subscription renewal.

  • Payment or billing.

  • Identity reverification.

  • Background rescreening.

  • Training or certification.

  • Account security.

  • Registered users or devices.

  • Changes to licensed capabilities.

  • Updated terms or privacy requirements.

  • Responsible-use concerns.

  • Session activity requiring clarification.

  • Compliance review.

  • Access restriction, suspension, or termination.

When a notice is received:

  1. Identify the subject.
Determine whether the notice concerns payment, eligibility, security, training, licensing, devices, responsible use, or another account requirement.

  2. Check the deadline.
Record the date by which the subscriber must respond or take action.

  3. Identify the responsible person.
The subscriber, account administrator, billing contact, compliance representative, or organizational authority may need to respond.

  4. Verify the notice.
Access the account through the established sign-in process or contact Event Poet through an authorized support channel.

  5. Complete the required action.
Submit the requested information, documentation, payment, training, verification, or response through the designated process.

  6. Confirm the result.
Verify that the account status reflects completion of the requirement.

  7. Retain the record.
Preserve the notice, response, confirmation, and any associated documentation.

A notice requesting credentials, sensitive personal information, criminal-history records, payment details, or urgent action should be verified through the normal account process before information is submitted.

Recognize subscriber-status changes

Event Poet access may change when:

  • A subscription renews, expires, changes, or is terminated.

  • Payment remains incomplete.

  • Required training or certification expires.

  • Background rescreening becomes due.

  • A reportable legal development occurs.

  • A subscriber changes roles or organizations.

  • An authorized user is added or removed.

  • A property, location, device, or system is added or disconnected.

  • Account security is compromised.

  • Event Poet updates its policies or technical requirements.

  • A responsible-use or compliance review begins.

  • Licensed capabilities are expanded or restricted.

Subscribers should review the current account status and authorization details rather than relying upon information from a previous subscription period.

Monthly subscriber-status review

  • Confirm that the subscription is active and in good standing.

  • Check the next subscription and license-renewal dates.

  • Review payment, renewal, security, training, and compliance notices.

  • Confirm that billing and contact information remain current.

  • Verify that required training and certifications remain valid.

  • Determine whether background rescreening or another eligibility review is approaching.

  • Confirm that no required criminal-history, warrant, judicial, security, or eligibility disclosure remains outstanding.

  • Review authorized users and their current roles.

  • Remove people whose access is no longer required or authorized.

  • Verify registered properties, locations, devices, and systems.

  • Confirm that credentials, product keys, activation codes, and registration information remain secure.

  • Review any unresolved Event Poet support, security, eligibility, or compliance matter.

  • Record each required action, its deadline, and the person responsible.

Additional reviews should occur before significant operational use, renewal, expanded access, organizational changes, device integration, or a requested change in subscriber classification.

Act when access may lapse or become restricted

Take prompt action whenever the account displays a pending, restricted, suspended, inactive, expired, or terminated status.

The subscriber should:

  1. Review the account status and associated notice.

  2. Identify the unresolved payment, training, screening, verification, security, licensing, device, or compliance requirement.

  3. Discontinue operational use whenever access is suspended, inactive, expired, revoked, or otherwise unauthorized.

  4. Protect Event Poet credentials and sensitive audiovisual information.

  5. Contact the appropriate account owner, administrator, billing representative, or Event Poet support channel.

  6. Provide the requested information or documentation.

  7. Retain records of the issue, response, and outcome.

  8. Verify that Event Poet has restored active status before resuming operational use.

The subscriber should never initiate or continue an Event Poet session while the account lacks the authorization required for that activity.

Voluntary termination and account closure

A subscriber who chooses or is required to end licensed access should complete Event Poet’s formal termination and account-closure process.

The process may include:

  • Notifying the Event Poet Operator’s Hub.

  • Discontinuing Event Poet session activity.

  • Removing or transferring organizational users through an authorized process.

  • Deactivating credentials, product keys, activation codes, and registered devices.

  • Disconnecting applicable integrations.

  • Addressing outstanding payments or administrative requirements.

  • Preserving records that Event Poet or applicable law requires to be retained.

  • Returning, deleting, or securing sensitive information according to Event Poet’s instructions.

  • Confirming the effective termination date.

  • Obtaining written confirmation that operational access has ended.

Termination following a felony conviction, disqualifying offense, credential misuse, serious security event, or other eligibility matter remains subject to Event Poet’s reporting, record-preservation, review, and referral procedures.

Retain subscriber-status records

Maintain secure records concerning:

  • Subscription activation and renewal dates.

  • Payment confirmations, invoices, and receipts.

  • Subscriber identity and classification.

  • Background-screening authorizations and eligibility determinations.

  • Training, testing, qualification, and certification.

  • Subscriber and licensing credentials.

  • Registered users, properties, locations, devices, and systems.

  • Account notices and responses.

  • Reported convictions, warrants, restrictions, or material eligibility changes.

  • Security incidents and corrective actions.

  • Access restrictions, suspensions, reinstatements, or terminations.

  • Communications with the Event Poet Operator’s Hub.

These records support account continuity, accurate administration, security review, organizational accountability, and verification of licensed status.

Subscriber-status checklist

A subscriber in good standing should be able to confirm:

  • My subscription and license are active.

  • My identity, contact information, subscriber classification, and organizational authority are accurate.

  • My payment information and renewal arrangements are current.

  • My required background and suitability status remains eligible.

  • I have reported every material legal, criminal-history, warrant, security, or eligibility development required by Event Poet.

  • My training, assessments, qualifications, and certifications are current.

  • My individually assigned credentials are secure.

  • Every authorized user has appropriate identity verification, screening, training, and permissions.

  • Former or ineligible users have been removed.

  • My registered properties, locations, cameras, audiovisual devices, software, and systems are accurate.

  • I have reviewed and responded to Event Poet notices.

  • I understand the operating capabilities and restrictions associated with my current access.

  • I know how to contact the Event Poet Operator’s Hub.

  • I will discontinue operational use whenever my account is suspended, inactive, expired, revoked, or otherwise unauthorized.

  • I have retained the required subscriber, screening, training, billing, security, and licensing records.

Maintaining Event Poet subscriber status is a continuing responsibility. The subscriber must preserve eligibility, training, security, authorization, accurate account information, registered-system integrity, current payment, timely disclosure, and responsible Event Poet use throughout the licensed subscription period.
